What Is a NY LLC Filing Receipt? (Guide for LLC Owners)

Core Process13 min readUpdated April 1, 2026By Jasmine Kohli

A NY LLC Filing Receipt is the official document the New York Department of State sends back after accepting and processing your Articles of Organization. It confirms that your LLC legally exists, shows your filing date, county, DOS ID number, and entity details. You need it to start the LLC publication process, open a bank account, and prove your LLC was properly formed.

If you just received an order confirmation from us and are wondering what a "Filing Receipt" is and where to find yours — here is exactly what it looks like:

Sample Only — Not a Real Document

This is a recreation for educational purposes. Your actual Filing Receipt will come directly from the NY Department of State after your Articles of Organization are filed and accepted.

What Is a NY LLC Filing Receipt?

When you file Articles of Organization with the New York Department of State to create your LLC, the state reviews and processes your filing. Once approved, the DOS issues a Filing Receipt — a one-page document that serves as official confirmation that your LLC has been formed.

This is a state-issued document. You do not create it yourself. The Department of State generates it after accepting your Articles of Organization, and it contains your LLC's key details plus state-assigned identifiers like a DOS ID number and authentication number.

Think of it this way: your Articles of Organization are the application you submit. The Filing Receipt is the state's confirmation that your application was accepted.

Filing Receipt Key Facts

What Information Is on the Filing Receipt?

Every Filing Receipt contains the same set of fields. Here is what each one means and why it matters for the publication requirement:

FieldWhat It ShowsWhy It Matters
Entity NameYour LLC's official name as registered with NY StateMust match exactly on all publication notices and filings
Document Type"Articles of Organization"Confirms what type of filing was processed
Entity Type"Domestic Limited Liability Company"Confirms your business structure

CountyThe county listed in your Articles of OrganizationDetermines which newspapers you publish in and which county clerk designates them

The File Date Is Critical

Your File Date is the most important field for publication purposes. Under NY LLC Law Section 206, you have 120 days from this date to complete the publication requirement. If you miss the deadline, your LLC's authority to do business in New York is suspended.

Filing Receipt vs. Articles of Organization

This is the most common point of confusion for new LLC owners, and it matters because when we ask you for your "Filing Receipt," we need a specific document.

Articles of Organization is the document you submit (or your formation service submits on your behalf) to the NY Department of State to create your LLC. It contains your LLC's name, county, and service of process address, and is submitted with a $200 filing fee.

The Filing Receipt is the document the state sends back after accepting your Articles. It is state-issued, contains all the details from your Articles plus additional state-assigned identifiers (DOS ID, authentication number, filing date), and serves as official proof that your LLC was successfully formed.

Quick Test

Not sure which document you have? Look for a DOS ID number and an authentication number. If you see both, you have the Filing Receipt. If the document looks like a form you filled out with your LLC details but has no state-assigned numbers, you likely have the Articles of Organization.

How to Get Your Filing Receipt

You receive your Filing Receipt automatically after the NY Department of State processes your Articles of Organization. How it arrives depends on how you filed:

  • Filed online at dos.ny.gov: Your Filing Receipt is typically available for download within 1-7 business days. You receive an email notification when it is ready.
  • Filed by mail: The DOS mails your Filing Receipt back to the filer's address. Standard processing takes approximately 2-4 weeks.
  • Filed through a formation service (LegalZoom, ZenBusiness, Northwest, Incfile, etc.): The service receives the receipt and typically provides it to you through their platform or by email. Check your dashboard, downloads section, or inbox.
  • Filed in person at One Commerce Plaza in Albany: You can receive the receipt the same day with expedited handling (additional fees apply).

Check Your Formation Service Dashboard

If you used a formation service like LegalZoom, ZenBusiness, or Northwest Registered Agent, your Filing Receipt is usually available in your online dashboard under "Documents" or "Filed Documents." If you cannot find it, contact the service directly — they should be able to resend it.

What If You Used a Registered Agent Service?

Many formation services automatically set up a registered agent when forming your LLC. Your Filing Receipt may have been sent to the registered agent's address. Log into your registered agent's portal to check for documents, or contact them to request a copy.

Why We Need Your Filing Receipt

When you place an order with us for Westchester County LLC publication, we ask you to send your Filing Receipt as the first step. Here is why.

Publication errors are expensive. If the entity name, filing date, or county in your newspaper ads does not match what the state has on record, the Certificate of Publication can be rejected. That means republishing from scratch — more time, more money, and potentially a missed 120-day deadline.

We use your Filing Receipt to verify three critical details before placing any ads:

DetailWhy It Must Match
Entity nameMust appear exactly the same in newspaper ads as it does on state records — including "LLC" vs. "L.L.C.", capitalization, and spacing
Filing dateConfirms your 120-day deadline and appears on the Certificate of Publication
CountyMust be Westchester County — determines which designated newspapers publish your notice

We also cross-reference your Filing Receipt against the DOS entity database to make sure everything is consistent. This verification step is why we maintain a 100% acceptance rate on Certificate of Publication filings — we catch discrepancies before they become problems.

What to Send Us

Simply reply to your order confirmation email with a copy of your Filing Receipt attached. A PDF, photo, or screenshot all work — as long as the entity name, filing date, and county are legible. Once we have it, we handle everything from there.

What If You Lost Your Filing Receipt?

The NY Department of State does not issue duplicate Filing Receipts. However, you have several options:

  1. Check your email — If you filed online, search for the original notification email from the Department of State. The receipt may still be downloadable from the DOS online filing system.
  2. Check your formation service — If you used LegalZoom, ZenBusiness, Northwest, or another service, log into their platform and check your documents. Most services store the receipt indefinitely.
  3. Request a Certified Copy — You can request a certified copy of your Articles of Organization from the DOS for $5. While this is not the same as the Filing Receipt, it contains the information we need.
  4. Request a Certificate of Status — For $25, the DOS issues a certificate confirming your LLC is in good standing.
  5. Search the DOS entity database — Visit ecorp.dos.ny.gov to look up your LLC. The database shows your entity name, DOS ID, filing date, county, and current status.

For the publication requirement, a certified copy of your Articles of Organization typically works as a substitute if you have lost your Filing Receipt.

Cannot Find It? We Can Help

If you cannot locate your Filing Receipt, let us know. We can look up your LLC in the DOS entity database to verify your formation details and get the publication process started. Contact us with your LLC name and we will take it from there.

Frequently Asked Questions

Is the Filing Receipt the same as the Articles of Organization?

No. The Articles of Organization is the document you submit to form your LLC. The Filing Receipt is the confirmation document the state sends back after accepting your Articles. The Filing Receipt contains additional state-assigned information like the DOS ID, authentication number, and filing date. See the comparison table above for a detailed breakdown.

Do I need my Filing Receipt to start LLC publication?

Yes. We use your Filing Receipt to verify your LLC's exact legal name, filing date, and county before placing newspaper ads. These details must match the Department of State's records exactly. Without this verification, there is a risk of errors that could cause the Certificate of Publication to be rejected. If you cannot find your receipt, contact us and we can look up your LLC in the DOS database.

How long does it take to receive my Filing Receipt?

For online filings, typically 1-7 business days. For mail filings, approximately 2-4 weeks. Expedited processing is available for an additional fee if you file in person at the Albany office. If you used a formation service, check their platform — some services provide the receipt within a few days of processing.

What if my Filing Receipt has an error?

If the entity name, county, or other details on your Filing Receipt do not match what you intended, you need to file a Certificate of Amendment with the NY DOS to correct it. The Filing Receipt reflects exactly what was in your Articles of Organization as accepted by the state. Do not begin publication until any errors are corrected, as the newspaper ads must match state records.

Can someone verify my Filing Receipt is real?

Yes. Every Filing Receipt includes an Authentication Number that can be verified at ecorp.dos.ny.gov. Anyone with your entity name or DOS ID can also search the database to confirm your LLC's filing date, county, and current status.

Does the Filing Receipt show my county?

Yes. The county field on your Filing Receipt shows the county you listed in your Articles of Organization. For Westchester County LLC publication, this must say Westchester. If it shows a different county, you would need to either publish in that county or file a Certificate of Change to update it. Learn more about why some services change your county and what that means.

What is the $200 fee shown on the Filing Receipt?

The $200 is the standard filing fee for Articles of Organization in New York State. This is a one-time government fee paid to the Department of State when forming your LLC. It is separate from publication costs. Our $385 publication fee covers everything needed to complete the publication requirement, including the $50 DOS filing fee for the Certificate of Publication.

Do I need the Filing Receipt for the Certificate of Publication?

You do not attach the Filing Receipt to the Certificate of Publication filing, but you need the information from it. The Certificate of Publication (Form DOS-1708) requires your entity name, filing date, and county — all of which come from the Filing Receipt. Getting these details wrong is one of the most common reasons for rejection.

Is the Filing Receipt the same as a Certificate of Good Standing?

No. A Certificate of Good Standing (also called Certificate of Status) is a separate document you request from the DOS for $25. It confirms your LLC is currently in compliance with state requirements. The Filing Receipt only confirms the initial formation — it does not reflect your LLC's current standing.
